- Create your school’s account on the sign-in page. You confirm your phone number with an SMS code.
- Bring in your learners and staff from Excel using the ready-made templates, or add them one by one.
- Invite teachers and parents. They activate their own logins with their phone numbers.

Safe with your school’s records
Each school’s learners, marks and fee records are separated inside the database itself, so no other school on ShuleTop can ever see them. Staff only reach the parts of the system their role allows — a teacher sees their classes, the bursar sees finance — and parents only see their own children’s published results.

Does ShuleTop support CBE (CBC) and 8-4-4?
Yes. It has the CBE performance levels EE1 to BE2 for Pre-Primary up to Grade 12, and the KCSE grades A to E for Form 3 and Form 4, so schools in the transition years can run both at once. See Junior School and Senior School.
Do I need to install anything?
No. ShuleTop works in the browser on a computer, tablet or smartphone. Your data is stored online, so the bursar, teachers and the principal see the same up-to-date records.
Can we bring in our students from Excel?
Yes. Download the Excel template, fill in your learners (including UPI/NEMIS numbers if you have them) and upload it. Staff can be uploaded the same way, and teachers can upload marks from Excel too.
Who can log in?
The school admin, teachers, parents and learners each have their own login. Teachers and parents sign in with their phone number; learners use their admission number. Each person only sees what their role allows.
Is our school’s data kept separate from other schools?
Yes. Every school’s records are separated inside the database itself (row-level security), so one school can never open another school’s learners, marks or fees.
