How to Stop Managing School Fees on a Spreadsheet

It works fine for one class, one term. Here's exactly where it stops working.

Almost every school starts fee tracking in Excel or Google Sheets, and for a small school with one class per grade, it genuinely works. The trouble isn't the spreadsheet itself — it's that fee tracking has a habit of quietly outgrowing whatever holds it, and by the time it breaks, a term's worth of records are already tangled up in it.

Where it actually breaks down

One wrong formula affects everyone below it. A single misdragged cell reference, an accidentally overwritten total, or a sort applied to one column but not the row next to it — these are invisible until a parent disputes a balance and nobody can explain how the number was calculated.

There's no real audit trail. If a balance changes, a spreadsheet doesn't record who changed it, when, or why. When three different staff members can open and edit the same file, "who approved this discount" becomes a genuine mystery within a term or two.

Reconciling M-Pesa payments by hand doesn't scale. Matching a list of M-Pesa transaction messages against a spreadsheet of expected fees, for hundreds of students, across multiple payment methods, is exactly the kind of repetitive matching work computers do reliably and humans do not.

One file, one laptop, one point of failure. A spreadsheet that lives on one computer (or one shared drive with patchy backup habits) is one hard-drive failure or one accidental deletion away from losing a term's financial records with no way to reconstruct them.

It can't tell a parent anything on its own. A spreadsheet doesn't send a fee reminder. Every SMS or call about an outstanding balance has to be manually triggered by someone remembering to look up who owes what — which means the reminders that would actually help collections happen inconsistently, if at all.

What proper fee management software does differently

• One ledger per student that tracks every invoice, payment, and adjustment permanently, with the running balance always calculated the same way, automatically.
• A record of who did what. Every discount, waiver, or correction is tied to the staff member who made it and when — not just a changed number with no history.
• Automatic balance and collection reports per class, per term, or per payment method, generated on demand instead of rebuilt by hand every time someone needs a number for a meeting.
• SMS reminders that actually go out to a parent with an outstanding balance, without a staff member needing to remember to send them.
• Data that lives somewhere safer than one laptop — a real database with backups, not a single file that can be lost, corrupted, or accidentally overwritten.

None of this means spreadsheets are a bad tool — they're an excellent one, for the job they're built for. Multi-year, multi-class, audited financial records for hundreds of families just isn't that job.
